A portfolio dashboard is an operational overview that shows a PM firm's key metrics at a glance, including occupancy, rent collection, maintenance status, and cash position across all managed properties. Portfolio dashboards pull data from the accounting system and operational data, so the PM team can see what is happening across the entire business in real time, rather than running individual reports for each property.

Most property management systems run data aggregations on a nightly batch schedule, so the dashboard reflects the portfolio's state as of the last batch, not the current moment. If a rent payment comes in at 9 AM, it may not appear in the dashboard until the following morning. This delay creates a gap between what the system shows and what is actually happening, which is why PMs often pick up the phone to verify information they see on screen.

MagicDoor separates its dashboard into two layers and is transparent about which is which. Financial reports, account balances, statements, and transaction stats are computed directly from the GL with no caching layer. The four cross-portfolio operational widgets (online payment rate, on-time rent rate, daily money movement, and returns and disputes) are cached for approximately one hour because they aggregate data across the entire portfolio on demand. Force-refresh is always available on cached widgets, and the last-refreshed timestamp is displayed so the PM knows how current the data is.
